Terms of Service

Effective Date: January 28, 2026 | Version 1.3

Welcome to DoorLedgers. These Terms of Service ("Terms") govern your use of our property management software platform ("Service") operated by DoorLedgers ("we," "us," or "our").

By creating an account or using our Service, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our Service.

1. Acceptance of Terms

By accessing or using DoorLedgers, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. You must be at least 18 years old and have the legal capacity to enter into these Terms.

2. Description of Service

DoorLedgers is a cloud-based property management software that helps landlords and property managers:

  • Manage rental properties, buildings, and units
  • Track tenants and lease agreements
  • Collect rent payments online
  • Track income and expenses
  • Generate financial reports
  • Manage maintenance requests and tickets
  • Import data using AI-powered tools

Important: Software Only - No Legal Advice

DoorLedgers is software only. We provide tools to help you manage your rental properties, but we are not lawyers, real estate brokers, licensed property managers, or financial advisors.

DoorLedgers does not provide legal, tax, financial, or real estate advice. Any information provided through the Service is for informational purposes only and should not be relied upon as professional advice.

We are not responsible for:

  • The legality or enforceability of any lease agreements you create or upload
  • Tenant screening decisions or tenant behavior
  • Compliance with local, state, national, or international landlord-tenant laws
  • Rent control, fair housing, eviction procedures, or other regulatory requirements
  • Tax reporting or tax compliance
  • Rent registration requirements in any jurisdiction

2.1 Your Responsibilities

As a user of DoorLedgers, you are solely responsible for:

  • Complying with all applicable federal, state, local, and international laws and regulations
  • Ensuring your lease agreements are legal and enforceable in your jurisdiction
  • Complying with fair housing laws and anti-discrimination regulations
  • Following proper eviction procedures as required by law
  • Reporting and paying all applicable taxes on rental income
  • Registering your rental property if required by your jurisdiction
  • Maintaining proper insurance coverage for your properties
  • Consulting with qualified professionals (attorneys, accountants, property managers) when needed

3. Account Registration

To use our Service, you must create an account by providing accurate and complete information. You are responsible for:

  • Maintaining the confidentiality of your account credentials
  • All activities that occur under your account
  • Notifying us immediately of any unauthorized use of your account

4. Subscription Plans and Billing

4.1 Free Trial

New users receive a 30-day free trial with full access to all features. No credit card is required to start your trial. At the end of the trial period, you must subscribe to a paid plan to continue using the Service. If you do not subscribe, your access to the Service will be suspended until a subscription is activated.

4.2 Subscription Tiers

We offer tiered subscription plans based on the number of rental units you manage. All plans include access to the same features—the only difference is the unit capacity:

  • Starter: 1–10 units
  • Growth: 11–50 units
  • Pro: 51–100 units
  • Scale: 100+ units (with usage-based billing for additional units)

Current pricing is available on our pricing page. Pricing may vary based on billing cycle (monthly or yearly) and currency.

4.3 Automatic Recurring Billing

By subscribing, you authorize automatic recurring charges. Your payment method will be automatically charged on each billing date (monthly or yearly) until you cancel your subscription.

Billing occurs as follows:

  • Monthly subscriptions: Charged on the same day each month as your original subscription date
  • Yearly subscriptions: Charged once per year on your subscription anniversary date
  • If your billing date falls on a day that doesn't exist in a given month (e.g., the 31st), you will be charged on the last day of that month

4.4 Scale Plan — Usage-Based Billing

Important for Scale Plan subscribers: The Scale plan uses metered (usage-based) billing for units exceeding the base limit of 100 units.

Scale plan billing consists of:

  • Base fee: A fixed monthly fee that includes up to 100 units
  • Overage charges: An additional per-unit fee for each unit beyond 100

How usage is calculated and billed:

  • Your unit count is automatically monitored by our system
  • When you add units that exceed the 100-unit threshold, the system reports this usage to our payment processor (Stripe)
  • Overage charges are calculated based on the number of units above 100 and are added to your next invoice
  • Overage charges are billed in arrears—meaning you pay for the previous period's usage on your next billing date
  • If you reduce your unit count below the threshold, overage charges will decrease accordingly on subsequent invoices

Example: If you have 150 units on the Scale plan, you will be charged the base fee plus overage fees for 50 additional units (150 - 100 = 50 units × per-unit rate).

4.5 Payment Failures

If a scheduled payment fails (e.g., due to insufficient funds, expired card, or declined transaction):

  • We will notify you by email of the failed payment
  • Our payment processor may automatically retry the charge over the following days
  • Your subscription status will be marked as "past due" during this period
  • If payment is not successfully collected after multiple retry attempts, your subscription may be canceled
  • You are responsible for ensuring your payment information is current and valid

4.6 No Refunds Policy

Important: All subscription payments are non-refundable. Once a payment is processed, we do not offer refunds for any reason, including but not limited to:

  • Unused time on your subscription
  • Downgrading to a lower-tier plan
  • Cancellation before the end of your billing period
  • Dissatisfaction with the Service

4.7 Cancellation Policy

You may cancel your subscription at any time through your account settings. Upon cancellation:

  • You will retain full access to the Service until the end of your current billing period
  • Your subscription will not renew at the end of the current period
  • No partial refunds will be issued for the remaining time
  • Your data will be retained for 30 days after your subscription ends, after which it may be deleted

4.8 Price Changes

We reserve the right to modify our pricing at any time. Any price changes will be communicated to you at least 30 days before they take effect. Continued use of the Service after price changes constitutes acceptance of the new pricing.

5. Acceptable Use

You agree not to:

  • Use the Service for any illegal purpose or in violation of any laws
  • Upload or transmit viruses, malware, or other malicious code
  • Attempt to gain unauthorized access to the Service or other users' accounts
  • Interfere with or disrupt the Service or servers
  • Use the Service to store or transmit infringing, defamatory, or otherwise unlawful material
  • Resell or redistribute the Service without our written consent
  • Use automated systems to access the Service in a manner that exceeds reasonable use

6. Data and Privacy

Your privacy is important to us. Please review our Privacy Policy to understand how we collect, use, and protect your information.

You retain ownership of all data you upload to the Service. By using our Service, you grant us a limited license to use, store, and process your data solely for the purpose of providing the Service.

7. SMS Text Messaging Terms

DoorLedgers offers SMS text messaging for transactional notifications. By using SMS features, you agree to the following terms:

7.1 Purpose and Consent

  • SMS messages are used for transactional purposes only, including rent reminders, payment confirmations, late fee notices, and maintenance updates.
  • We do not send marketing or promotional text messages.
  • By providing a phone number and opting in to SMS, recipients consent to receive text messages from DoorLedgers.
  • Consent can be withdrawn at any time by replying STOP to any message.

7.2 Landlord Responsibilities

If you are a landlord or property manager using SMS features:

  • You are responsible for obtaining proper consent from tenants before enabling SMS notifications.
  • You must provide tenants with required disclosures before collecting consent (see SMS Consent page).
  • You must honor opt-out requests promptly.
  • You must maintain records of tenant consent.
  • You agree not to use SMS features for spam, harassment, or any unlawful purpose.

7.3 Message Frequency and Rates

  • Message frequency varies based on rental activity (typically 1-5 messages per month).
  • Standard message and data rates may apply.
  • DoorLedgers is not responsible for carrier charges incurred by recipients.

7.4 Opt-Out

  • Recipients can opt out at any time by replying STOP to any DoorLedgers message.
  • Recipients can also opt out through their Tenant Portal settings or by contacting support@doorledgers.com.
  • Reply HELP for assistance.

7.5 SMS Disclaimers

By opting in to DoorLedgers SMS notifications:
You consent to receive transactional text messages from DoorLedgers. Reply STOP to opt out. Reply HELP for help. Standard message and data rates may apply. Message frequency varies. View our Terms of Service and Privacy Policy.

8. Payment Processing

If you use our tenant payment features, payments are processed through Stripe, a third-party payment processor. By using these features, you also agree to Stripe's terms of service. We are not responsible for errors or issues caused by Stripe or other third-party payment processors.

9. Intellectual Property

The Service, including its original content, features, and functionality, is owned by DoorLedgers and is protected by international copyright, trademark, and other intellectual property laws. You may not copy, modify, distribute, or reverse engineer any part of the Service.

10. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, DOORLEDGERS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE.

Our total liability for any claims arising from these Terms or your use of the Service shall not exceed the amount you paid to us in the twelve (12) months preceding the claim.

12. Indemnification

You agree to indemnify, defend, and hold harmless DoorLedgers, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from your use of the Service or violation of these Terms.

13. Termination

We reserve the right to suspend or terminate your account at any time for violation of these Terms or for any other reason at our sole discretion. Upon termination:

  • Your right to use the Service will immediately cease
  • We may delete your data after a reasonable retention period
  • No refunds will be issued for any prepaid subscription fees

14. Changes to Terms

We may update these Terms from time to time. We will notify you of any material changes by posting the new Terms on this page and updating the "Effective Date." Your continued use of the Service after such changes constitutes acceptance of the updated Terms.

15. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of New Hampshire, United States, without regard to its conflict of law provisions. Any disputes arising from these Terms or your use of the Service shall be resolved in the state or federal courts located in New Hampshire.
