Managing Units
What is a Unit?
A Unit is an individual rental space within a building – an apartment, condo, house, room, or any space you rent out. Each unit can have one active lease at a time.
Adding a New Unit
Step 1: Go to Your Building
- Click “Buildings” in the left sidebar
- Click on the building where you want to add a unit
- You’ll see the building detail page
Step 2: Click Add Unit
- On the building page, find the “Units” tab (usually selected by default)
- Click the “Add Unit” button
Step 3: Fill in Unit Details
Complete the unit information form:
| Field | Required | Description | Example |
|---|---|---|---|
| Unit Number | Yes | How you identify this unit | “101”, “A”, “Basement”, “Front House” |
| Bedrooms | No | Number of bedrooms | 2 |
| Bathrooms | No | Number of bathrooms | 1 |
| Square Feet | No | Size of the unit | 850 |
| Monthly Rent | Yes | Standard rent amount for this unit | 1500 |
| Description | No | Features or notes about the unit | “Corner unit, washer/dryer in unit, parking spot #3” |
Step 4: Save the Unit
- Review your entries
- Click “Save Unit”
- The unit now appears in your building’s unit list
Understanding Unit Status
Units automatically show their rental status:
| Status | Color | Meaning |
|---|---|---|
| Vacant | Gray | No active lease – available for rent |
| Occupied | Green | Has a tenant with an active lease |
| Pending | Yellow | Has a future lease starting soon |
Viewing Unit Details
To see complete information about a unit:
- Navigate to the building containing the unit
- Click on the unit number in the units list
- The unit detail page shows:
- Current tenant (if occupied)
- Active and past leases
- Payment history for this unit
- Repair requests related to this unit
Editing a Unit
- Go to the unit’s detail page
- Click “Edit Unit”
- Update any fields as needed
- Click “Save Changes”
Note: Changing the rent amount on a unit doesn’t affect existing leases. The new amount will be used when creating future leases.
Deleting a Unit
Warning: Deleting a unit removes all associated leases and payment history. Make sure no active leases exist before deleting.
- Go to the unit’s detail page
- Click “Delete Unit”
- Confirm the deletion
Single-Family Homes
For a single-family rental property:
- Create a “building” for the property (e.g., “123 Oak Street House”)
- Add one unit named “Main” or “House” or simply “1”
- Create leases for this single unit
