Smart Import (AI Data Import)

What is Smart Import?

Smart Import is an AI-powered feature that helps you quickly set up your DoorLedgers account by automatically extracting and importing your existing property data from spreadsheets, PDFs, and documents.

One-time use: Smart Import can only be used once per account. After you’ve completed an import, you can view a summary of what was imported from your Profile page.

Supported File Types

  • Spreadsheets – CSV, Excel (.xlsx, .xls)
  • PDFs – Lease agreements, rent rolls, financial statements
  • Word Documents – .doc, .docx files

You can upload multiple files at once. The AI will combine data from all files to build a complete picture of your portfolio.

What Can Be Imported

Smart Import can extract and create:

  • Buildings – Property names, addresses, types
  • Units – Unit numbers, bedrooms, bathrooms, rent amounts
  • Tenants – Names, contact information, emergency contacts
  • Leases – Start/end dates, rent amounts, security deposits
  • Rent Payments – Historical payment records
  • Expenses – Past expenses and their categories

How to Use Smart Import

Option 1: During Onboarding

When you first sign up, you’ll see the Smart Import option during onboarding:

  1. Complete account setup (Step 1)
  2. On Step 2 (Add Building), click “Start Smart Import”
  3. Upload your files
  4. Review and confirm the extracted data

Option 2: From Your Profile

If you skipped Smart Import during onboarding:

  1. Go to your Profile page
  2. Find the “Smart Setup” section
  3. Click “Start Smart Import”

The Import Process

Step 1: Upload Files

  1. Drag and drop files onto the upload area, or click to browse
  2. Add as many files as needed
  3. Click “Process with AI”
Tip: The more complete your data, the better the AI can extract information. Include rent rolls, lease documents, and expense reports for best results.

Step 2: Review Extracted Data

After processing, you’ll see a preview of everything the AI found:

  • Review each category (Buildings, Units, Tenants, etc.)
  • Toggle items to import or skip
  • Edit any incorrectly extracted data
  • See the AI confidence score

Step 3: Confirm Import

  1. Review your selections
  2. Click “Confirm Import”
  3. Wait for the import to complete
  4. View your import summary

AI Confidence Score

The AI provides a confidence score indicating how certain it is about the extracted data:

Score Meaning
90-100% Very confident – data clearly extracted
70-89% Confident – minor uncertainty, please review
50-69% Moderate – some data may need correction
Below 50% Low – carefully review all extracted data

Rollback Option

Made a mistake? You have 24 hours after completing an import to roll it back:

  1. Go to your Profile
  2. Click “View Import Summary”
  3. If within 24 hours, click “Rollback Import”
  4. All imported data will be removed
Warning: Rollback permanently deletes all data that was imported. This cannot be undone.

Tips for Best Results

  • Use clear file names – Name files descriptively (e.g., “2024_rent_roll.xlsx”)
  • Include headers – Make sure spreadsheets have column headers
  • Consistent formatting – Use consistent date formats and naming conventions
  • Complete data – Include as much information as possible
  • Review before confirming – Always review the preview before importing

After Import

Once your import is complete:

  • All your data is ready to use in DoorLedgers
  • You can edit any imported records as needed
  • Set up online payments for your tenants
  • Enable repair requests
  • Start tracking new expenses and payments

Viewing Import Summary

After using Smart Import, you can always view what was imported:

  1. Go to your Profile
  2. In the “Smart Setup” section, click “View Import Summary”
  3. See counts of imported buildings, units, tenants, leases, payments, and expenses
  4. View the original files that were processed

Need Help?

If Smart Import isn’t extracting your data correctly:

  • Try reformatting your spreadsheet with clear headers
  • Ensure PDFs are text-based (not scanned images)
  • Contact support for assistance with complex files
