Late Fee Notifications
Overview
DoorLedgers automatically sends email notifications to tenants regarding late fees. This keeps tenants informed and encourages timely payments.
Types of Notifications
Late Fee Warning
Sent one day before a late fee will be applied:
- Reminds the tenant of the upcoming late fee
- Shows the grace period end date
- Displays the late fee amount that will be charged
- Encourages the tenant to pay before the fee is applied
Late Fee Notice
Sent when a late fee structure is assigned or changed on a lease with overdue payments:
- Informs the tenant that a late fee policy now applies to their lease
- Lists any payments currently past the grace period
- Explains the late fee structure (grace period and fee amount)
- Urges the tenant to pay outstanding amounts
Late Fee Applied
Sent when a late fee is actually applied to a rent payment:
- Confirms the late fee has been added to the tenant’s balance
- Shows the original rent amount and the late fee
- Displays the new total amount due
When Notifications Are Sent
| Event | Notification Type | Recipients |
|---|---|---|
| 1 day before grace period ends | Late Fee Warning | Tenant |
| Late fee structure assigned to lease | Late Fee Notice | Tenant (if overdue) |
| Late fee actually applied | Late Fee Applied | Tenant |
Email Requirements
For tenants to receive late fee notifications:
- The tenant must have an email address on file
- The tenant does NOT need a tenant portal account
- Emails are sent to the address in the tenant’s profile
Best Practice
Always ensure your tenants have valid email addresses in their profiles. This enables them to receive important notifications about rent due dates, late fees, and payment confirmations.
